The Hahndorf Rifle Club Inc (here in referred to as "HRC Inc" or the "club" ) is an incorporated sporting body which collects personal information from its members and visitors to its club during the normal course of activities.

As required by the Federal Privacy Act 1988 and the Privacy Amendment (Private Sector) Act 2000 and Regulations the HRC Inc is subject to the provisions of the National Privacy Principles as detailed in Division 2, Section 14 and Schedule 3 of the Privacy Act 1988

· Manner and purpose of collection of personal information

· Solicitation of personal information from individuals concerned

· Solicitation of personal information generally

· Storage and security of information

· Information relating to records kept by record holder

· Access to records containing personal information

· Alteration of records containing personal information

· Record Keeper to check accuracy etc of personal information before use

· Personal information to be used only for relevant purposes

· Limits on use of information

· Limits on disclosure of personal information

As required the HRC Inc will comply with the Privacy Codes Prescribed Standards for procedures relating to complaints as detailed in Schedule 1 of the Privacy (Private Sector) Regulations 2001.

HRC Inc provides the following information as part of its commitment to the National Privacy Principles

Purpose for which Membership Data is collected
Personal details are collected from individual members, State and Territory Associations and their branches for the club's membership records, which are needed to:

· service the individual members, State and Territory Associations and their branches with records of membership by:

· distribution of membership cards and renewal information ; renewals details ;

· and other normal membership correspondence and assistance ;

· complies with the statutory obligations relating to members activities as provide by Law

Purpose for which Membership Data collected is NOT to be used
The personal details collected from individual members, State and Territory Associations and their branches for the club's membership processes will not be:

· Sold to other organisations

· Distributed to other organisations, except as required by legislation

Ancillary uses of Membership Data collected
The club may use data for purposes of demographic and related analysis of its membership.

Such data, with personal information removed may be disclosed to third parties.

Other Data and Information that may be collected
From time to time media material will be identified as having interest to the HRC Inc's members in regard to the shooting sports; firearm legislation, ownership, manufacture; hunting, conservation and pest management; and the recreational use of firearms.

The club may gather this data for the use of officers at their discretion. Such information will not be used for marketing or generally distributed.

Disclosure of Membership data and information
Membership data that is collected from individual members, State and Territory Associations and their branches for the Association's membership processes shall not be disclosed except as detailed in Purpose for which Membership Data is collected, without approval of the HRC Inc Committee.

HRC Inc.’s committee members, or officers working with them, may upon satisfactory confirmation of a member's identity, discuss the membership records in relation to the Member's individual records, (or in appropriate circumstances family members), with the intention to enable the members records to be corrected, and facilitate the provision of services to members.

Access to Personal Information
Members have a right to access their personal information, subject to some exceptions allowed by law. A member can request a copy of the personal information the Association holds on them. A fee may be charged for searching and providing this information to the member, but the member will be advised of this fee in advance.

Complaints
If a member has a complaint about the way in which the HRC Inc manages their personal information, they should contact the HRC Inc and we will acknowledge the receipt of the compliant and commence investigations. If following investigations, the complaint remains unresolved the Association will apply the procedures in the Privacy Codes Prescribed Standards for procedures relating to complaints as detailed in Schedule 1 of the Privacy (Private Sector) Regulations 2001.

Privacy Officer
The HRC Inc will appoint a Privacy Officer. The Privacy Officer will facilitate, monitor and review the HRC Inc's compliance with the Privacy legislation and regulations. The Privacy Officer will be the point of contact for all matters related to the Association and privacy issues under the Privacy Act 1988 and the Privacy Amendment (Private Sector) Act 2000 and Regulations

The Name and Contact details of the HRC Inc's Privacy Officer will be made available to individual members, State and Territory Associations and their branches, through the club's publications, the Web Site and by request from the Association, and other methods as needed.

Legal Obligations
Nothing in this policy shall require members or officers to withhold information from a legal authority in so far as that authority is acting in compliance with law.
